ORGANIZATIONAL SETTING

The Division of Country Programmes (DCP) is responsible for coherence and impact of ITC's programmes at the country and regional levels. The five regional sections within ITC maintain close relations to partners in ITC's programme countries to ensure a demand-led approach for all projects. The sections coordinate throughout the project cycle in the design, implementation and monitoring of projects.

The project 'Export Development for Employment Creation (EDEC)' funded by the Government of Canada aims at strengthening the competitiveness of priority export sectors by linking micro, small and medium-sized enterprises with buyers and enhancing effectiveness of trade support institutions. The project focuses on helping companies meet international market requirements in terms of quality, standards, packaging, marketing, and client management. On the downstream side, the project boosts market activation and diversification through specialized distribution channels including the Halal market and e-commerce. The project is all about enabling micro, small and medium sized enterprises to grow and to create sustainable employment for youth and women.

RESPONSIBILITIES

Under the direct supervision of the Programme Officer, EDEC and under the general guidance of the Chief, Office for Arab States, the Programme Assistant will be responsible for the following duties:

  • Performs a wide range of office support and administrative functions.
  • Responds or drafts responses to routine correspondence and other communications.
  • Monitors processes and schedules related the team's outputs, products, tasks; where applicable, assists in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant legal, financial and other requirements.
  • Researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences.
  • Proofreads documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format.
  • Screens phone calls and visitors; responds to moderately complex information requests and inquiries (e.g. answers requests requiring file search), and as necessary, refers inquiries to appropriate personnel for handling.
  • Provides secretarial, administrative and logistics support to meetings, committees, conferences.
  • Assists in the maintenance of websites by scanning, converting and posting a variety of documents onto the site.
  • Assists in the preparation of presentation materials using appropriate technology/software.
  • Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit.
  • Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions.
  • Updates and maintains large distribution lists; monitors, prepares and distributes various materials, reports, where possible using electronic formats; handles arrangement for printing and translation as necessary; coordinates shipment arrangements, courier services.
  • Performs general administrative tasks (e.g. leave and attendance recording, arrangements for meetings and other events, reservations, budget follow-up), to include preparing and/or processing administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications).
  • Maintains files (both paper and electronic) and contact databases.
  • Provides guidance to less experienced staff on general office processes and procedures, computer applications.
  • Performs other duties as assigned.

ELIGIBILITY CRITERIA

EDUCATION: High school diploma or equivalent. Must have passed ITC Microsoft Office Proficiency Test (MOPT).

WORK EXPERIENCE: A minimum of three years of experience in general office support or related area.

LANGUAGES: Advanced knowledge of French with a working knowledge of English. Knowledge of other UN official languages is an asset

KNOWLEDGE AND SKILLS: Knowledge of IMIS or other ERP systems is highly desirable.

TERMS OF SERVICE

Appointments with ITC are service-limited to this organization. The conditions of service are governed by the United Nations Staff Rules and Regulations. This is a fixed term appointment.

INDICATIVE ANNUAL SALARY AT THE G-4 LEVEL
